25 Meeting Spaces from Pods to Town Hall

The Brief

Cardiff is the IBO Global Centre for Assessment.

The old IBO office near the M4 in Cardiff had become unsuitable so they were moving to newly refurbished office space close to Cardiff Central station.

The IBO office is divided into two main areas. Public spaces where external visitors have easy access, and a secure staff area where assessments can take place. Both areas have several hybrid meeting rooms.

Since the IBO works worldwide they need all their meeting rooms to have the same level of accessibility and connectivity with an internationally consistent user interface.

Our Solution

The installed systems provide a consistent user interface in all 25 meeting spaces. These range in size from two seater pods to large meeting rooms with 20 chairs.

Every meeting space can be booked and has a Teams Room booking panel. The Logitech TAP scheduler fitted the requirements and had been tested by the IBO.

The other component of every meeting space is an Airtame Hub. The Airtame Hub allows wireless conferencing that is completely agnostic. You can use Teams, Zoom, Google Meet or most other meeting applications on your laptop, and join your meeting wirelessly through the Airtame App.

The Airtame systems are all managed through the Airtame Cloud. As well as Airtame Hubs in the meeting rooms, general display screens have Airtame 2 devices so they can be used for wireless presentations.

All the Airtame units are set to show custom signage displays and can be scheduled to manage powering off overnight.

Small meeting rooms, seating four people, are equipped with a Poly R30 soundbar connected to the Airtame Hub.

All the Poly soundbars are managed with Poly Lens through the network.

This combination of equipment keeps the tables free from microphones, control panels and the like.

In the larger rooms we added Shure audio systems to be sure of the best possible audio quality. For the 12 person rooms the MXA 902 and ANIUSB worked with Poly R50 soundbars.

For the 20 seater rooms we used the MXA 920 with the P300 audio processor and Poly V72 soundbars.

To be sure that there is a meeting space for everyone whenever it is needed there are also nine meeting pods, seating 2 or 4 people. In the pods we used Jabra soundbars with a 180 degree field of view – you can see everyone, even in such a small space.

For Town Hall meetings the entire canteen area is equipped with Shure Microflex wireless microphones and a 110″ presentation screen. Extron flat field speakers ensure even sound distribution throughout.

The Shure microphone system works with an Extron DSP to provide automatic selection and mixing of the three wireless microphones, broadcast TV audio, and Bluetooth background audio. A versatile presentation and meeting space with no user controls needed for the audio public address system.
